You've just spent hours revising and re-revising your resume. You've
slapped it into shape, smoothed the edges and sharpened the points.
You now have a great piece of marketing material which explains why
you're the hottest product to hit the job market since Michael Jordan
declared he was bored with basketball. But it's not enough. You're
also going to need a cover letter. No matter how much you've targeted
your resume to suit your potential employer, your resume is still just a
detailed list describing you. Your cover letter on the other hand, will
explain exactly what you can do for them.
Ideally your cover letter will be short - if you need to use a second
page then don't be afraid to do so, but in general try to keep your
letter down to a single page made up of concise and focussed paragraphs.
Place your name and full address at the top. You may want to include
your phone number and e-mail address here too, but this can get quite
cumbersome and as you'll be explaining in your last paragraph how the
employer can get in touch with you, it's not completely necessary. The
date follows a line or two after your address and then the name, full
title and address of the recipient. If you don't know exactly who to
write to, find out! Give the company a ring and ask. Your letter has a
much better chance of reaching its target if you know who you're
aiming at and will only irritate if you misspell their name. The opening
paragraph creates a first impression, and therefore needs particular
care. You can take a conservative approach here with something like:
Please find enclosed my resume in response to your advertisement in
the San Francisco Examiner for a bridge-painter.
This kind of opening goes straight to the point, it's easy to copy and
difficult to go wrong with. And that's why almost everybody uses it.
On the other hand, you might want to stand out from the crowd by
trying a different kind of opening. If you have a name to drop for
example, this is the place to do it:
Fred Bloggs from Acme suggested I contact you about a position in your
company as a product designer.
Alternatively, you might want to show a bit of imagination and
creative flair:
There's an old saying that all good things comes to those who wait.
But in the acquisitions department of Portnoy's Bank, you need someone
who's prepared to go out and grab.
This kind of opening obviously requires much more thought and is much
harder to do well. It should however, give you a greater chance of
attracting the reader's interest and help you to poke out from the pile.
The point here is that the rules for cover letters are much less
rigid than those for resumes and this is important to remember as you
move into the main body of the letter.
One option here is to keep the main part of your cover letter to just
one paragraph, so that your letter consists of a
total of three paragraphs: introduction, description and close.
Alternatively, You might want to make each point a paragraph to make
your letter easier to scan.
One line paragraphs can also have a bold effect.
However you choose to structure your letter, bear in mind that what
you're trying to do is describe how the skills you've outlined in your
resume can be of direct benefit to the company you're applying to. If
for example you declared in your resume that during your
time as Marketing Manager at Wally's Widgit's you raised sales by 30% in
a twelve month period, then in your cover letter for a position as
Sales Manager at Bertie's Bolts you'll have to describe how that
experience will benefit Bertie's:
At Bertie's Bolts, you're constantly looking to break into new markets,
promote your product and increase sales. My experience in creating
new leads and turning those contacts into contracts will help your
company raise its revenues while maintaining its regular customer base.
You can then go on to identify and address perhaps two more of the
company's needs in a similar way.
You'll want to identify two different kinds of skill: on the one hand,
you'll want to show that you have the basic skills that anyone
applying for the position will be assumed to have. For example, if
you're applying for a job as a truck-driver, it will be assumed that you
have the relevant licenses and some experience driving trucks. But if
the company transports canned food for example, and you just happened to
have worked at a cannery, then pointing out that you know how to
store and handle canned goods might well give you an edge over other
applicants.
Again,
the point is to describe how your skills match their needs.
The end of the letter is where you close the deal by telling the
employer how they can buy your product:
You can contact me at 623-5678 or by e-mail at me@here.com, to arrange
an interview at your convenience.
And if they don't call, call them. If they weren't going to call anyway,
then you can't lose anything, and if they were planning to call, then
they won't mind you calling earlier. The only time to be cautious
about calling is when answering an ad in the paper. Here, the irritation
factor may count against you simply because of the sheer numbers of
people who could call.
Although a cover letter, like your resume, is a piece of marketing
material designed to sell you, it does allow you more flexibility to
be you, so try to write in a relaxed and friendly style and let your
personality shine through!
